This Privacy Policy explains how GetNotes (“GetNotes”, “we”, “us”), a service operated by GREETFLOW AI CONSULTING LLC, collects, uses, stores and protects your information when you use getnotes.dev and the GetNotes application (the “Service”).

GetNotes records or ingests meeting audio and produces transcripts and AI-written minutes. Because that audio can contain sensitive conversations, we’ve tried to keep this policy plain and specific about what happens to it. If anything here is unclear, email us at hello@getnotes.dev.

1. Information we collect

We collect only what we need to run the Service:

  • Account information. Your email address and an encrypted password, handled through our authentication provider. We never store your password in readable form.
  • Meeting content. The audio you record or upload, the transcripts we generate from it, the AI-written notes, and any titles or metadata you add. This is the core content you entrust to us.
  • Usage and plan data. Your plan (Free or Pro), how much audio you’ve processed, meeting counts, and basic product-usage records needed to enforce plan limits.
  • Payment information. If you subscribe to Pro, payments are processed by Stripe. We receive limited billing details (such as your subscription status and the last four digits of your card) but we never see or store your full card number — Stripe handles that directly.
  • Technical data. Standard log and device information (IP address, browser type, timestamps) used to operate and secure the Service.

2. How your meeting audio is processed

This is the part that matters most, so we’ll be direct. When you record or upload a meeting:

Your audio is sent to our transcription provider (ElevenLabs) to produce a transcript. The resulting transcript is then sent to our AI provider (Anthropic, the maker of Claude) to write your structured minutes. Both providers process this data solely to return your transcript and notes to you.

Your recordings and notes are not used to train GetNotes’ models or those of our providers, and they are not sold, rented, or shared for advertising. Your audio and notes are stored privately and are accessible only to your account.

3. How we use your information

We do not sell your personal information, and we do not use the content of your meetings for advertising or profiling.

  • To provide the Service — transcribe your meetings, generate notes, and store and display them to you.
  • To operate your account, enforce plan limits, and process Pro subscriptions.
  • To maintain the security, reliability and integrity of the Service.
  • To respond to your requests and provide support.
  • To comply with legal obligations.

4. Service providers (subprocessors)

We rely on a small set of trusted providers to run GetNotes. Each processes data only as needed to provide their part of the Service:

  • Vercel — application hosting and delivery.
  • Supabase — database, authentication, and private file storage for your recordings and notes.
  • ElevenLabs — speech-to-text transcription of your audio.
  • Anthropic — AI generation of your meeting minutes from the transcript.
  • Stripe — payment processing for Pro subscriptions.

5. Storage, security and retention

Your recordings, transcripts and notes are held in private storage protected by row-level security, so that only your account can access your meetings. Data is encrypted in transit.

You control retention of your content. You can delete any meeting — audio and transcript together — at any time from your dashboard, and deletion is permanent. If you close your account, we delete or de-identify your personal data within a reasonable period, except where we are required to retain certain records (for example, billing records) by law.

6. Your rights

Depending on where you live, you may have rights over your personal data, including the rights to access, correct, delete, export, or restrict the processing of your information. You can exercise many of these directly in the app (viewing and deleting your meetings), or by emailing hello@getnotes.dev. We will respond within the timeframe required by applicable law.

7. Your responsibility for recording consent

GetNotes is a tool you control. You are responsible for obtaining any consent required to record a meeting under the laws that apply to you and the people in the room. Recording rules vary by country, state and context. We recommend telling participants that a meeting is being recorded and stopping if anyone objects. GetNotes does not provide legal advice, and using the Service does not transfer this responsibility to us.

8. International data transfers

GetNotes and its providers may process and store data in the United States and other countries. Where we transfer personal data across borders, we take steps to ensure it remains protected consistent with this policy and applicable law.

9. Children

GetNotes is not directed to children. You must be at least 16 years old (or the age of digital consent in your jurisdiction) to use the Service. We do not knowingly collect personal data from children.

10. Changes to this policy

We may update this Privacy Policy from time to time. When we make material changes, we will update the “Last updated” date above and, where appropriate, notify you. Your continued use of the Service after an update constitutes acceptance of the revised policy.
